Privacy Policy

Version 2026-10-21 · Effective October 21, 2026

This Policy explains how RemAInder collects, uses, discloses, retains, and protects information when you use RemAInder, including when you choose its AI features.

1. Information we process

Account and profile data

We collect identifiers and profile details from you and your sign-in provider, such as user ID, email address, display name, authentication status, time zone, language, onboarding status, AI-processing choice, and legal-document acceptance records.

Reminder and collaboration content

We collect content you type, record, scan, create, save, or share in RemAInder. This can include reminder titles and notes, dates and times, recurrence settings, people labels, completion state, attachments and derived content, shared-calendar membership and invitations, merge settings, and activity needed to provide these features. Content in a shared calendar is visible to calendar members.

Voice, image, and document input

When you choose voice capture, photo capture, or scanning, the app collects the audio, image, or document you select or create. RemAInder does not intentionally store the source audio or source image/document in its application database after the processing request. Derived transcripts, extracted reminder details, reminders you save, diagnostic outcomes, and attachments you separately choose to retain may be stored.

Calendars and notifications

With permission, RemAInder can use device calendar and notification capabilities. Device calendar operations may occur on your device under operating-system permissions. If you connect Google Calendar, RemAInder stores Google OAuth access and refresh tokens encrypted at rest and exports RemAInder-created reminder events one way to your Google Calendar. Event identifiers are stored to update or remove those exports. Disconnecting removes mapped RemAInder-created Google events before revoking the connection when possible.

Purchases, support, and diagnostics

Apple and RevenueCat provide purchase, subscription, entitlement, product, and transaction-related data; we do not receive your full payment-card number. Issue reports may contain the category, description, optional contact information, account identifier, and submission time. We may process technical, security, request, error, device, and service logs needed to operate, diagnose, and protect RemAInder.

2. AI processing, disclosure, and consent

RemAInder uses OpenAI, LLC (“OpenAI”), a third-party AI service provider. Before RemAInder sends personal data to OpenAI for the first time, the app presents a separate disclosure and asks for your permission. If you decline, RemAInder will not send your data to OpenAI and the AI-powered feature will not run.

Depending on the feature you request, RemAInder sends OpenAI one or more of the following:

  • text you type for an AI reminder request;
  • an audio recording you choose to transcribe;
  • an image you take or select for scanning;
  • context needed to understand or update your reminder, such as date, time zone, language, known people labels, and relevant existing reminder titles, notes, dates, recurrence, or completion details; and
  • reminder titles and notes when an authorized viewer requests a display translation.

OpenAI receives this data only to perform the feature you requested: transcribe speech; interpret text; extract reminder and calendar details from an image; identify a relevant reminder for a requested change; or translate reminder text. OpenAI returns the resulting transcript, structured reminder details, proposed change, or translation to RemAInder.

You can withdraw permission in RemAInder under Settings → AI Processing. Withdrawing permission prevents future disclosures to OpenAI and disables AI-powered processing until you allow it again. It does not undo processing that occurred before withdrawal or delete reminders or other results you chose to save. You can delete saved content or your account in Settings, and can contact us at support@remaindcal.com regarding applicable deletion rights.

3. How we use information

  • Provide authentication, reminders, user-requested AI processing, shared calendars, integrations, notifications, purchases, and support.
  • Maintain security, prevent abuse, troubleshoot failures, and enforce service limits.
  • Understand and improve reliability and product experience using appropriately limited operational data.
  • Comply with legal obligations and protect users, RemAInder, and others.

4. Service providers and other disclosures

We disclose information to service providers only as needed to provide the service, including Supabase for authentication and database infrastructure; OpenAI for the AI processing described above; Google for connected calendar export; Apple and RevenueCat for purchases and entitlements; and hosting or operational providers. We require service providers to process personal data for specified purposes and subject to applicable contractual privacy and security obligations. We may also disclose information when required by law, to protect rights and safety, or as part of a business transaction subject to appropriate safeguards.

Under its services agreement, OpenAI states that it uses API customer content only to provide the service, comply with law, enforce its policies, and prevent abuse, and that it does not use API data to train or improve its models unless the API customer affirmatively opts in. RemAInder does not opt its API requests into model training. RemAInder’s text, image, and translation requests are configured with store: false so they are not stored as application state for later retrieval by RemAInder. OpenAI may nevertheless retain prompts, responses, and related metadata in abuse-monitoring logs for up to 30 days by default, or longer when required by law or reasonably necessary to protect its services or others. Audio-transcription requests have no application-state or abuse-monitoring retention under OpenAI’s published endpoint table. OpenAI states that image inputs are scanned for suspected child sexual abuse material and that an image its classifier flags may be retained for manual review. OpenAI’s current practices are described in its API Data Controls, Services Agreement, and applicable data-processing terms.

We do not currently sell personal information or use it for cross-app behavioral advertising.

5. Google API data

RemAInder’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements. Google Calendar data and credentials are used only to provide and secure the user-requested calendar connection and are not used for advertising.

6. Retention and deletion

We retain account information and saved content while your account is active and as needed to provide the service. RemAInder sends selected content to OpenAI only when an authorized AI request is made and does not intentionally persist source audio or source images in its application database after the request. Provider retention is described in Section 4. Operational, security, purchase, and legal records may be kept for reasonable periods required for fraud prevention, accounting, dispute resolution, and legal compliance.

You can delete saved content or request account and application-data deletion through Settings. Deletion removes application records according to our systems and retention obligations; information already shared with calendar members, exported to a device or Google Calendar, included in backups pending rotation, or retained by a third party under its stated retention terms may require separate action or additional time.

7. Security

We use administrative, technical, and organizational safeguards appropriate to the nature of the information, including encrypted network transmission, authenticated access controls, restricted server-side API credentials, and encryption of stored Google OAuth tokens. OpenAI processes API data under its applicable services agreement, data-processing terms, and published security measures. No system is perfectly secure, and we cannot guarantee absolute security.

8. Your choices

You can allow or withdraw OpenAI processing in RemAInder under Settings → AI Processing; manage notification, microphone, photo, document, and calendar permissions in your device settings; disconnect Google Calendar in RemAInder; manage subscriptions through Apple; leave or manage shared calendars where available; and delete saved content or your account through Settings. Depending on where you live, you may have additional rights to access, correct, delete, or restrict processing of personal information. Contact us to exercise applicable rights.

9. Children

RemAInder is not directed to children under 13, and we do not knowingly collect personal information from children under 13. A higher minimum age may apply where required by local law.

10. International processing

Service providers, including OpenAI, may process information in countries other than where you live. Where required, we use appropriate measures for international transfers.

11. Changes and contact

We may update this Policy and will identify updates with a new version or effective date. Privacy questions and applicable rights requests may be sent to support@remaindcal.com.
